ISO 9000 Online Documentation Management System Specification
Our on-line documentation systems is designed to:
- Maximize security to protect original files and company proprietary information
- Maintain ISO compliant documentation based on revision control
- Allow full access of documentation to all company employees using a standard internet browser (through your website)
- Allow ECO processing of a basic (Level 1) ECOs in less than 5 minutes
- Allow quick searches for documents and ECOs.
- Generate report of ECO activity for management review meetings.
The documentation system has the following features:
- Users may use the advanced search to find documents based on part number, product family, or partial description
- Users may review native documents instantly or print them
The ECR/ECO system has the following features.
- Allows entry of Engineering Change Requests (ECR) by all employees
- Maintains a queue of pending ECRs for assignment by the Engineering or quality manager.
- Totally paperless processing with 3 levels of ECOs
- Uploading documentation
- Flagging documentation (alerts other user to an active change in the document)
- Fully automated email system includes links to the ECO document, "instant approval" links and notification of personnel of a released ECO all with just one click.
System Implementation
Step 1: Drop the iframe into a secure page on your website. All employees will access the documentation system through this interface. You may add additional security on this page. Your information can not be accesses outside of this iframe.
Step 2: Define all Users and Privileges The system administrator can create and delete users and define user levels.
- User Level 1: Allowed access to view documents
- User Level 2: Allowed to edit documents and maintained on the email list for ECO approval
- User Level 3: Administration of all features. The system administrator can create and delete users and define user levels. The administrator defines the participants in the ECO process to accelerate ECO processing. There can be multiple administrators
- User maintenance also shows user activity (documents created)

Step 3: Create the Documentation Set or Import Data Level 2 and 3 users can create documentation to populate the system or we can import an Access or Excel database into the system (for a small fee). Before the system is released, ECOs are not required. This allow for a faster startup.
Step 3a: Customize the system. We offer customized adaptations of the system to meet the company'?s needs.
Step 4: Release the system After the system release, ECO are required to change any document.
This system is designed from the ground up to make maintaining an ISO compliant documentation automatic. It is designed for maximum efficiency so it is not a burden on the company?s resources. This system can help focus the company on improving quality while reducing the load of maintaining ISO compliant records.
